Front Desk/Scheduling Clerk
Essential Duties and Responsibilities:
The Front Desk/Scheduling Clerk must be able to execute on day-to- day workflows as communicated and coached by the Lead Front Desk Clerk. It is expected to facilitate daily operations and responsibilities of the “patient flow” within each assigned area. On site (OS) duties are required to be performed on-site during normal business hours and/or during a state of emergency during a pandemic.
- Greet patients as they arrive and provide appropriate information
- Registers patients in the practice management system which may mean entering information given verbally or on registration forms
- Collects identification and insurance cards and copies or scans them for the record, may photograph the patient for the record (OS)
- May collect co-pays or other monies may inform patients of any existing balance (OS)
- Arrange payment schedule with patients with manager’s approval
- Prints encounter form (also called superbill, routing slip, or fee ticket) with updated information, or updates information on the encounter form
- Has patient sign financial agreement, receipt of privacy policy, benefits, consent to treat, etc. (OS)
- Directs visitor (drug reps, salespersons, etc.) appropriately and has them sign in (OS)
- Answer telephone and provide information regarding medical procedures
- Schedule and reschedule patient’s appointments
- When scheduling appointment, carefully screens patients for new address, new patient visits or update registration and informs patient of adequate information that must be presented at time of visit
- Cancel patients’ appointments and provide them with new dates
- Maintain patient waiting areas, office files, and front-desk areas in a manner that is organize and neat (OS)
- Provide medical billing and coding duties
- Obtain patients’ information and record it in the EHR database
- Call for patients’ records for doctors’ review (hospital ER, admitted coming in for follow up)
- Direct calls and messages to appropriate hospital or medical office staff
- Call up patients and remind them of their appointments
- Manage filing and record keeping activities
- Verify patients’ insurance information at each visit and update timely
- Take and record patients’ demographic location information
- Verify clients’ insurance information
- Ensure smooth office operations with support teamwork, and generate a positive attitude between front and back office staff (OS)
- Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls
- Adheres to all Clinic policies on safety and security
- First-line problems solving skills with the ability to listen, understand, and solve or refer provider issues to team leader/management (OS)
- Basic understanding and compliance with clinic policies, procedures and protocol
- Ability to always demonstrate the highest level of performance and behavior standards
- Demonstrates competency and professional responsibility in the front desk role
- Maintains confidentiality with HIPPA compliance when interacting with patients, families, personnel and public
- Perform related duties as assigned by supervisor
- Complies with personnel policies and maintains compliance with all company policies and procedures
All other duties as assigned by clinical manager or practice administrator
